Privacy Policy

This Privacy Policy explains how Smart Pixel Pty Ltd (MileageFile, we, us or our) handles personal information when you use the MileageFile mobile application and related support, account and subscription services.

MileageFile is designed so that trip records and evidence are primarily held on your device. We do not sell your personal information, use it for behavioural advertising, or use it to make automated decisions about you. We collect only the information needed to provide the features you choose, including account and subscription functions where enabled.

We do not intentionally collect health information, contacts, microphone recordings, advertising identifiers, or data from other apps.

MileageFile asks for permissions only when a feature needs them:

• Location, including background and precise location: used to detect and record journeys and calculate distance. If you do not allow it, automatic tracking and route/distance recording will be limited or unavailable; you can still use applicable manual-entry functions.
• Motion and Fitness: used to help distinguish vehicle movement from other activity and reduce battery use. You can turn it off, but automatic tracking may be less reliable.
• Camera and Photo Library: used only when you choose to capture or select optional photo evidence.

You can change permissions at any time in iOS Settings. You can also stop automatic tracking in the app. Location and motion signals are not guaranteed to be accurate, continuous or complete.

We collect information when you enter it in the app, enable a permission, create or use an account, purchase or restore a subscription, contact us, choose a map or address feature, or share content through your device.

We do not run third-party advertising or behavioural analytics in MileageFile. We use only limited technical information needed to authenticate an account, validate a purchase, secure the service and investigate a support issue you initiate.

We do not sell personal information. We disclose information only as described below:

Google’s privacy policy is available at policies.google.com/privacy. Apple’s privacy information is available at apple.com/legal/privacy.

Local app data is stored on your device. Optional account and entitlement information is processed by Supabase in Australia. Apple and Google may process information in countries other than Australia under their own terms and privacy policies.

When information is processed outside Australia, we take reasonable steps to ensure it receives a level of protection appropriate to the circumstances, including by using reputable service providers and contractual or technical safeguards where available. No method of electronic transmission or storage is completely secure; please protect your device, Apple Account, account credentials and backup password.

We keep information only for as long as it is reasonably needed for the purpose described in this Policy, including security, dispute resolution, legal, tax and accounting obligations.

• Local trip records and photo evidence: remain on your device until you delete them, reset the device or remove the app.
• Backups: remain in the storage destination you selected until you delete them. We cannot access or recover a backup password.
• Account and entitlement information: is retained while your account or subscription-support need continues, then deleted or de-identified unless we must retain it for legal, security, fraud-prevention or accounting reasons.
• Account deletion: you can submit a deletion request in the Account area of MileageFile. This request does not remove local trips, locally stored evidence, backups under your control or an Apple subscription. Delete those items separately and cancel subscriptions through Apple Account settings.

Depending on applicable law, you may ask to access, correct or delete personal information we hold about you, or complain about how we handle it. You can also:

• edit or delete trip records in the app;
• change iOS permissions, stop tracking or use manual-entry features where available;
• sign out or request account deletion in the app;
• manage or cancel a subscription through Apple; and
• delete backups from the storage provider you chose.

To make a privacy request, contact Support@smartpixel.com.au. We may need to verify your identity. We will respond within a reasonable period and explain if law permits or requires us not to comply with a request.

If you are dissatisfied, please contact us first. You may also contact the Office of the Australian Information Commissioner.

MileageFile is intended for users aged 16 and over. If you are 16 or 17, you must have the consent of a parent or guardian before using MileageFile. Do not provide personal information through MileageFile if you are not authorised to do so.

We may update this Policy when our practices, services or legal obligations change. We will publish the updated version with a new effective date and, for material changes, provide additional notice where reasonable.
